User Agreement and Acceptable Usage Policy for UNC School of Medicine Lecture Capture

Acceptance of Agreement

Lecture capture is a service provided by the UNC School of Medicine Office of Information Systems (OIS). This agreement governs the use of lecture capture recordings, and is in place to ensure compliance with all applicable University of North Carolina At Chapel Hill (UNC) security policies and standards.

BY USING THIS SERVICE, YOU ARE AGREEING TO THIS USER AGREEMENT AND ACCEPTABLE USAGE POLICY. Anyone who does not agree with this policy should not request lecture capture for their event. For clarification of policies, please contact lecture_capture@med.unc.edu.

Updates to Agreement

OIS may update this user agreement at any time and without notification to reflect its organizational needs, but changes will only apply to recordings requested on or after the new effective date.

Service Description

Lecture capture is a service provided by OIS for the UNC School of Medicine.

Services to be provided include:

  1. Scheduled recording of event presentation and audio in OIS supported classrooms. A camera shot of the presenter is available in select rooms, upon request.
  2. A URL link to the streaming rich media file.
  3. Recordings can be viewed publicly, or restricted to UNC onyen login for access, per user request.
  4. Server hosting, storage, and streaming delivery of recordings for two years, after which time the recordings will be deleted. A download of the recording (presentation and audio only) is available upon request.
  5. Security controls to protect all client data in compliance with all applicable UNC security policies and procedures.

Acceptable Usage Policy

  1. Use of lecture capture recordings is for the purpose of university business only.
  2. OIS cannot record, store, or deliver any content that is in violation of state or federal laws or UNC policies.
  3. OIS cannot record anyone who does not want to be recorded. It is the responsibility of the user to make the presenter and attendees aware of the recording.
  4. User must obtain prior consent from the appropriate parties allowing OIS to record, store, and deliver any content containing sensitive data (e.g. protected health information, intellectual property, copyright material). Our Patient Release and Authorization Form can be downloaded from our website at http://www.med.unc.edu/ois/services/lecture-capture/lcforms.
  5. Any presenter not affiliated with the UNC School of Medicine must sign our General Recording and Release Form, which can be downloaded from our website at http://www.med.unc.edu/ois/services/lecture-capture/lcforms.
  6. Editing is not available as a service. If the presentation begins late or ends early, the recording will still be in progress and any private conversations or activity on the pc can be recorded.
  7. Once the URL links are provided, any use of these links (e.g. forwarding, embedding in websites) is the responsibility of the user. OIS will not assume responsibility for the misuse of content.
  8. User agrees to comply with all applicable UNC security policies and procedures.
  9. OIS will not assume responsibility for content that is discovered to be in violation of any aforementioned policies or laws. Content will be removed or made unavailable for viewing pending review, and appropriate action taken if necessary.

Limitation of Liability

OIS will have no liability or responsibility in the event of any loss or interruption of the services and/or media content described within this agreement due to causes beyond its reasonable control or ability to foresee.

Denial or Termination of Service

While generally available to all UNC affiliates, the following are potential conditions that may require the denial or termination of service.

Denial of service will be at the discretion of OIS Management based on the following:

  • The intended use of the service by the client is not for university business.
  • The intended use of the service by the client causes a situation where OIS resources are overwhelmed technically, in terms of necessary staffing or otherwise.
  • The intended use of the service by the client does not match the services that OIS is approved to support.
  • The client has not followed through with the proper procedure for requesting the necessary service.
  • The client has been previously found to be in violation of any IT policy within the university such that the action could be repeated.
  • Any other reason agreed to be appropriate by OIS management.

Termination of service will be at the discretion of OIS management based on the following:

  • Violation of the effective User Agreement or any Service Level Agreement (SLA) in place.
  • It has been determined that the client’s use of the service is matching circumstances that would have ordinarily caused a denial of service.
  • The client’s use of the service is directly causing a negative impact on the quality of service for other users.
  • Any other reason agreed to be appropriate by OIS management.

  1. Information and release forms are available on the lecture capture site at http://www.med.unc.edu/ois/services/lecture-capture.
  2. Users can request support for lecture capture by contacting Classroom Support at lecture_capture@med.unc.edu.
  3. Users integrating links into webpages on the School of Medicine website/content management system should contact the Web Design and Development team at webhelp@med.unc.edu.
