User Agreement and Acceptable Usage Policy for UNC School of Medicine Lecture Capture

Acceptance of Agreement

Lecture capture is a service provided by UNC School of Medicine IT (SOM-IT). This agreement governs the use of our lecture capture system and is in place to ensure compliance with all applicable University of North Carolina At Chapel Hill (UNC) security policies and standards.

BY USING THIS SERVICE, YOU ARE AGREEING TO THIS USER AGREEMENT AND ACCEPTABLE USAGE POLICY. Anyone who does not agree with this policy should not use our lecture capture service. For clarification of policies, please contact Instructional Media Services at ims@med.unc.edu.

Updates to Agreement

SOM-IT may update this User Agreement at any time and without notification to reflect its organizational needs.

Service Description

Lecture capture is a service provided by SOM-IT for the UNC School of Medicine.

Services to be provided include:

  1. Prescheduled recording upon request of event presentation and audio in SOM-IT supported classrooms. A camera shot of the presenter is available in select rooms.
  2. Content management, editing, and sharing capabilities by the content owner.
  3. Content upload and download capabilities by the content owner.
  4. Recordings can be viewed publicly or restricted to UNC Onyen login for access.
  5. Server hosting, storage, and streaming delivery of recordings for two years, after which the recordings are deleted.
  6. Security controls to protect all client data in compliance with all applicable UNC security policies and procedures.

Acceptable Usage Policy

  1. Use of lecture capture recordings is for university business only.
  2. SOM-IT cannot record, store, or deliver any content that is in violation of state or federal laws or UNC policies.
  3. SOM-IT cannot record anyone who does not want to be recorded. It is the responsibility of the user to make the presenter and attendees aware of the recording.
  4. Patient Protected Health Information (PHI) cannot be recorded or uploaded under any circumstance.
  5. Any presenter not affiliated with the UNC School of Medicine must sign our Recording Release Form, which can be downloaded from our website.
  6. Sharing of the recordings is the responsibility of the user. SOM-IT will not assume responsibility for any misuse of content.
  7. User agrees to comply with all applicable UNC security policies and procedures.
  8. SOM-IT will not assume responsibility for content that is discovered to be in violation of any aforementioned policies or laws. Content will be removed or made unavailable for viewing pending review, and appropriate action taken if necessary.

Limitation of Liability

SOM-IT will have no liability or responsibility in the event of any loss or interruption of the services and/or media content described within this agreement due to causes beyond its reasonable control or ability to foresee.

Denial or Termination of Service

While generally available to all UNC affiliates, the following are potential conditions that may require the denial or termination of service.

Denial of service will be at the discretion of SOM-IT Management based on the following:

  • The intended use of the service by the client is not for university business.
  • The intended use of the service by the client causes a situation where SOM-IT resources are overwhelmed technically, in terms of necessary staffing or otherwise.
  • The intended use of the service by the client does not match the services that SOM-IT is approved to support.
  • The client has not followed through with the proper procedure for requesting the necessary service.
  • The client has been previously found to be in violation of any IT policy within the university such that the action could be repeated.
  • Any other reason agreed to be appropriate by SOM-IT management.

Termination of service will be at the discretion of SOM-IT management based on the following:

  • Violation of the effective User Agreement or any Service Level Agreement (SLA) in place.
  • It has been determined that the client’s use of the service is matching circumstances that would have ordinarily caused a denial of service.
  • The client’s use of the service is directly causing a negative impact on the quality of service for other users.
  • Any other reason agreed to be appropriate by SOM-IT management.

Support

  1. Information, the recording request form, and the recording release form are available on the lecture capture site.
  2. Users can request support or training for lecture capture by contacting Instructional Media Services at ims@med.unc.edu.
  3. Users needing support integrating links into webpages on the School of Medicine website or content management system can contact the Web Design and Development team at webhelp@med.unc.edu.
