Collections

A collection is a group of content collected from your website. It collects content from anywhere in your site and allows you to display it wherever you want. Collections work dynamically so any new information added to your site that meets the collection's criteria will automatically be included in the collection.

About Collections

  • When logged in, the web system will help you identify collections by displaying the collection icon Collections Icon.  These icons are displayed next to collections in the left-hand navigation and in the contents view of a folder. 
  • Like folders, collections do not have any editorial content of their own.  They simply collect pre-existing content on your site.  You can then display this content in a number of ways and virtually anywhere on your site.
  • A Collection can utilize a number of search criteria. For an item to appear in a Collection it must satisfy all of the entered criteria.

Default Collections Included With Every Site

Every site comes with a default News and Events collection.  These collections respectively collect all News and Event items located anywhere within your site.  

  1. The default News and Events collections should not be deleted.
  2. These collections are used to populate the Lineage News and Lineage Events portlets.
  3. These collections can be found in their respective folders at the root of the site. 
    • Go to your sites home page and click on the contents tab (located on the green bar)
    • In the News folder you will find a News collection
    • In the Events folder you will find an Events collection

When To Use A Collection

Here are some examples of when to use a collection:

  1. Lets say you have a lot of events on your site.  There are events for meetings, conferences, forums, lectures, trainings, lab tours and grand rounds.  If you add an Events portlet to your site it will display all of the events.  If however you wanted to refine what events were displayed (like only grand rounds), then you would create a collection that gathers only your grand round events.  You could then display that collection in a portlet anywhere in your site.
  2. To display all news items created by the Marketing department in the past week.
  3. To display all photos within your site that have the tag/keyword 'MRI' assigned to them.
  4. To display all word documents that have 'Cardiology' in the title.

Adding a Collection

To add a Collection, click on the 'Add new...' button and choose Collection.

This will bring you to the Add Collection page where you can define the search terms of the collection.

Search Terms

This defines what content from your site is pulled into the collection.  You can add one search parameter or multiple to refine your results.  For an item to appear in a Collection it must satisfy all of the entered criteria.  As you define the search terms, be sure to check the Preview box often.  It will give you a live preview of the content that matches the criteria. 

Description

Searches the Description field of all content on your site and returns any that match the word or phrase you specify.

Searchable text

Searches the Title, Description, Body, and Tag of all content on your site and returns any that match the word or phase you specify.

Tag

Searches for and displays all content that has been assigned a specific Tag(s).  For this to work, content (pages, news items, etc.) will need to be tagged with the keyword(s) you are searching for.

Title

Searches for and displays all content that has a specific word or phase in the Title.

Creation date 

Searches for and displays content that was created on a specified date or date range.  

Effective date

Also know as the Publishing Date, is the date that an object is Published.  This date can be edited on any piece of content by clicking on the Date tab while in Edit mode.

Expiration date

The date that the piece of content will no longer be publicly viewable.  By default, objects have no Expiration Date.  This date can be edited on any piece of content by editing the item and clicking on the Dates tab (see image above).

Modification Date

The modification date is the date the object was last modified.

Event start date

Searches for and displays Events that start on a specific date or date range.

Event end date

Searches for and displays Events that end on a specific date or date range.

Creator

Searches for and displays content based on who created it.  The Creator can be modified on any piece of content by editing the item and clicking on the Creators tab.

Location

The collection will only pull content from the location you specify.

  1. Relative Path- allows you to choose a location that is relative to the location of the collection.
    • '..' for the parent folder
    • '../..' for the parent's parent
    • '../foldername' for a sibling folder
  2. Absolute PathIs a path that starts at the root directory (your site's url) and includes all sub directories (sub folders) to get to the desired location.  For example: /sitename/news/2014.

Review State

This refers to an items workflow state and whether an item is published or private.  It's a good idea to always include a filter for Published content so that links to private content do not appear in the collection results.

Short name (id)

This search is very specific.  It displays any content whose short name exactly matches your specified text.

Type

Searches for and displays specific types of content such as Pages, Images, News Items, etc.

onLandingPage

This option only pertains to News items.  This option was created for those sites that wanted to display news items on a landing page (usually the site's home page).  

 

Sort On

The Sort on field allows you to specify the order of a collection's results.

  1. Collections Sort On MenuSortable Title - displays the results alphabetically based on the Title of each item.
  2. Effective Date - displays the results from oldest to newest based on the Effective Date (also know as the Publishing Date).  We recommend using Effective Date rather than Creation Date for date oriented collections. This way, your collection shows results based on when they became viewable to the public, which is usually more relevant to site visitors. Also, you can manually adjust the Effective Date to control the sort order, which you can't do with Creation Date.
  3. Creation Date - displays the results from oldest to newest based on the Creation Date.
  4. Modification date - displays the results from oldest to newest based on the Modification Date.
  5. Short name (id) - displays the results in alphabetical order based on the short name of each item.
  6. Event start date - displays the results from oldest to newest based on an Event's Start Date.
  7. Event end date - displays the results from oldest to newest based on an Event's End Date
  8. Creator - displays the results in alphabetical order based on the Creator name.
  9. Reversed order - checking this option will reverse the order in which the results are displayed.
