Are clerkship evaluations required?

Course evaluations for clerkships must be completed within five days after the subtest or the completion of the clerkship.

When are clerkship evaluations conducted?

Student evaluations of clerkships are distributed at the completion of the clerkship. Since clerkships are scheduled using a block system, they are evaluated by blocks. The schedule takes breaks, vacations, and even weekends into consideration. These adjustments to the schedule are made to maximize students' opportunity to respond to the course evaluation. The general schedule is as follows:

Activity When?
Clerkship evaluation sent 5 days prior to clerkship shelf exam (where applicable)/official end date of clerkship
First reminder sent (to students who have not yet responded) 3 days prior to shelf exam/official end date of clerkship
Second reminder sent (to students who still have not responded) day of shelf exam/official end date of clerkship
Report of non-respondents to clerkship coordinator 5 days after shelf exam/official end date of clerkship
Evaluation closed end of fall and spring semester

Do all clerkships use the same evaluation instrument?

While all clerkship evaluation forms are based on the same core questions, the forms do take into account the different formats of the clerkships. For those clerkships where students rotate among several different clerkship sites, the forms allow students to rate their experiences at each site separately. As a result, some clerkship forms are longer than others to account for multiple rotations and/or sites. Beginning with the 2006-07 academic year, clerkships directors have the option to add up to five specific questions to the form to address particular areas of interest.

What questions are asked on the clerkship evaluation form?

The form covers many aspects of the clerkship as related to its stated learning objectives. It attempts to address instructional methods rather than individual instructors. Beginning with the 2006-07 academic year, course directors may submit up to five questions targeting specific clerkship activities or aspects to OED for inclusion on the standard clerkship evaluation form; school administration may submit up to two such questions.See what the form looks like for each of the following clerkships:

Why are reminders sent?

The product used for course evaluation has a reminder feature. Although we would prefer not to remind, we have found that response rates are significantly improved when this feature is used. Once a student submits a response, the student is no longer sent reminders. The electronic survey program determines who should receive reminders based on its database of respondents.

What happens when a student does not respond to a clerkship evaluation?

At the completion of each evaluation cycle, after all reminders have been sent, a list of students who have not responded is sent to the clerkship coordinator. Each clerkship decides independently what to do about students who have not responded to the clerkship evaluation. Students are permitted to submit evaluations up until the time the reports are run.

When are the results of the clerkship evaluations reported?

Results of clerkship evaluations are reported mid-year and at the completion of the academic year. At the completion of the academic year, the spring semester results are reported along with a separate report that covers all clerkship blocks for the academic year.
