IMPORTANT: NEW USERNAMES. For printing to the new Xerox 7345 color printer/copier you will need a User ID (username) and Passcode (password). Your printer User ID and Passcode will both be the same 4 digit number as your old copier code. Your new copier code will be the same 4 digit number as your old copier code. All three new items are the same 4 digit number. In all cases I assigned the 4 digit number that you used for the old Xerox copier.
So when I say your new username and password are the same I mean that they equal each other.
Your new copy code is the same as your old copy code.
Here is an example.
Old copy code = 3333.
New copy code = 3333.
New printing username = 3333.
New printing password = 3333.

If you have any problem send me email and I will send you the number. The old accounting system cannot be duplicated exactly with the new machine. I have chosen this system because I think it will produce the least confusion. If you experience confusion I will help you. Exceptions could be made to this system but there are issues that I will describe for you if you want a different User ID or Passcode.

1. Download the latest driver package for Windows 7 or Vista. At this time (4 March 2010) the same drivers are used for Windows XP, Vista, and 7. You must select a 32 bit or 64 bit driver to match your operating system. You may select the PCL driver, the PCL6 driver, or the PostScript driver.
Find the latest driver by starting here: click here for search page.
In the search box enter “7345” (no quotes) and click “search”. You will then see links for two controllers, choose the link for drivers for the built-in controller.
Choose the correct operating system from the operating systems list and click “go”. There are two Vista entries, one “Vista” which is for 32 bit Vista and the other “Vista x64” which is for 64 bit Vista. Similarly for Windows 7.
I recommend either PCL6 or PS. If one doesn’t work properly then try the other.

2. The downloaded file is a zip archive so double click it and extract all the files to the default directory or a directory that you will create, I recommend C:Xerox7345. When you double click the archive it will open in Windows Explorer and there are two ways to extract all the files. If the “Extract All Files” option appears on the left then click it. If not then select File -> Extract All… . Browse to the location in which you wish to save the extracted files and make a new directory or you may simply accept the default directory but you must note the location for later in creating a new printer.

3. These instructions are for the first time you create a Xerox 7345 printer and therefore you must create the printer port for the Xerox 7345 printer. If you create a second Xerox 7345 printer you may reuse the printer port created here.
I’ve done this twice and each time Windows asked for permission to continue at different stages so I omit those events below. If you encounter the prompt “Windows needs your permission …” then click Continue. If you encounter the prompt “Windows can’t verify the publisher of this driver software” then click Install this driver software anyway.
Open the Add Printer dialog. One way is Start -> Control Panel -> Printer
-> Add a printer
-> Add a local printer
Choose a printer port dialog
select Create a new port (assuming not yet created)
Type of port: Standard TCP/IP Port (select from pulldown menu)
click Next.
Type a printer hostname or IP address dialog
Device type: TCP/IP Device (select from pulldown)
Hostname or IP address: 152.19.37.120 (type it in)
Port name: CDB-Xerox7345 (or take the default or type what you want)
deselect Query the printer …
click Next
Install the printer driver dialog
click Have Disk …
click Browse …
navigate to the folder containing the unpacked driver files
select the .inf file (x2GINP.inf in package downloaded 11 July 2008)
click Open
click OK
select Xerox WorkCentre 7345 PS
click Next
Printer name: CDB-Xerox7345 (or what you want)
deselect Set as the default printer (or select it if you want)
click Next

you might encounter this:
Windows can’t verify the publisher of this driver software
if so click Install this driver software anyway

You’ve successfully added a printer dialog
do not click Print a test page – it will fail because accounting is not configured
click Finish

You must configure the new printer for accounting (see section 4. below) or printing will fail.

4. Configure the new printer for accounting.
Open the Printer applet. One way is Start -> Control Panel -> Printer
Right click on the new printer and select Properties.
Select the Configuration tab and click Accounting… and the Accounting dialog will open.
Open the pull down menu and select Send User ID Only.
Now you have a choice of one, having this printer automatically bill a specific lab for all print jobs or two, having this printer prompt the user for account information for each print job. To always bill a specific lab with no prompt follow 4A. To get a login prompt for each job follow 4B. (You might want two printers one to bill your lab and the other so visitors can charge prints to their own labs.)

4A. Select Prompt for Every Job.
I would deselect Save Accounting Codes. If selected then the last User ID and Passcode (they are both the same 4 digit number) entered will be included by default the next time the login prompt appears. Click OK. I would name the printer to indicate the accounting configuration such as “Xerox7345 Prompt for Every Job”. To rename the printer right click on the printer in the Printers and Faxes applet and select Rename.

4B. Select Use Default Accounting Codes.
Then enter the User ID and Passcode (they are both the same 4 digit number) in the fields so named. Click OK. I would rename the printer to indicate the accounting configuration such as “Xerox7345 MyLabName”. To rename the printer right click on the printer in the Printers and Faxes applet and select Rename.

5. Configure Image Quality.
This is very important since the default (High Speed) is not optimal.
If the Printer applet is not open then open it. One way is Start -> Control Panel -> Printer
Right click on the printer you wish to configure and select Properties.
If not already selected, select the General tab.
Click Printing Preferences.
Select the Image Options tab.
Open the Image Quality pulldown menu and select either High Quality or High Resolution. High Resolution produces better fine detail visibility and slightly higher contrast than High Quality. (The contrast increase is at least partially responsible for the increased detail visibility.) The contrast difference probably means High Quality reproduces the darkest and lightest values better than High Resolution (but I haven’t examined it in detail).
To avoid adjusting this setting for each print you can click Apply to make your current selections the printer defaults. After you click Apply the defaults will be used for subsequent print jobs until you change settings and click Apply again.
If you have a complex set of settings changes you can use the Saved Settings pull down to name and save these settings for ease of selection but they are not remembered from job to job unless you click Apply. Note that the default paper type (bond) is fine for 24lb., and 28lb. paper so there is normally no need to adjust this setting.
To exit Printing Preferences click OK, OK. It is a good idea to check these settings before the first print in a session.

6. Other Saved Settings.
Saved Settings saves all the settings in the Printing Preferences. For example if you use Tray 5 for alternative paper types (or transparencies) you could make a Tray 5 Saved Settings with whatever accounting type and image quality you wish. Extending this a step further you could create a new printer and name it “Xerox7345 Tray 5” and configure it to print to Tray 5 by default.

Xerox 7345 Setup Instructions for Windows 7 and Vista Installing and configuring the printer on your computer 0.
