Sponsored Programs Office Internal Post-Submission Materials Deadlines

NIH Notice Number: NOT-OD-19-083 outlines the specific rule regarding post-submission materials, which requires concurrence from the Authorized Organization Representative (AOR) of the applicant organization.

To ensure a smooth and compliant process, the Sponsored Programs Office has established an early submission requirement for all NIH Post-Submission Materials. We kindly request that applicants submit any post-materials to our office two days before the NIH deadline. This timeline allows the AOR sufficient time to review, process, and submit the Post-Submission Materials to the NIH Scientific Review Officer (SRO) in a timely manner.

Adhering to the designated Post-Submission Materials deadlines is crucial for upholding the integrity of the research process for the University, departments, and investigators. It is our collective responsibility to follow established standards and procedures while submitting and reviewing Post-Submission Materials.

Risks of providing Post-Submission Materials late.

  • Missed Compliance Considerations: Submitting Post-Submission Materials late may lead to missed compliance considerations before they are submitted to the SRO, potentially impacting the evaluation process.
  • Non-Compliance with NIH Format: Late submissions might not allow enough time for proper formatting of the Post-Submission Materials, leading to non-acceptance by the SRO.
  • Missing Required Deadline: Failing to submit Post-Submission Materials on time can result in the materials missing the necessary deadline for review.

We urge everyone to adhere to the early submission requirement to avoid these risks.

NIH Notice Number: NOT-OD-19-083 provides the details of the process.

Sponsored Programs Office BONUS TIP

The most common post-submission material that is submitted is:

News of an article accepted for publication since submission of the application, which must include only:

  • List of authors and institutional affiliations
  • Title of the article
  • Journal or citation (if available)

The most common reason this material is rejected by the Scientific Review Officer (SRO) is NOT including ALL the required information, specifically the Institutional Affiliations of the Authors.

We have assembled two examples of how others have prepared this post-submission material.
