These editors can create content but they <strong>cannot publish<\/strong> it. Site editors with publishing permissions will need to review this content. They can either <strong>Publish<\/strong> it or set the status back to <strong>Draft<\/strong> if they don\u2019t think it&#8217;s ready for publication.<\/p>\n<ul>\n<li><strong>Who can see it?<\/strong> Only logged-in site editors.<\/li>\n<li><strong>When to use it: <\/strong>Use Pending Review when the content is complete and ready for someone else to approve.<\/li>\n<\/ul>\n<h4>Save Draft vs. Submit for Review<\/h4>\n<p>When a Contributor creates a page, they have two options:<\/p>\n<ul>\n<li><strong>Save Draft<\/strong> means \u201cI&#8217;m still working on this Post. It&#8217;s not yet ready to publish.\u201d<\/li>\n<li><strong>Pending Review<\/strong> means \u201cI think this Post is ready to be published. I need someone to review and publish it.\u201d<\/li>\n<\/ul>\n<p>This image shows the options a Contributor has when saving a page:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"tb-margin alignnone wp-image-11583 size-full\" src=\"https:\/\/www.med.unc.edu\/webguide\/wp-content\/uploads\/sites\/419\/2021\/03\/submit-for-review.png\" alt=\"Screenshot of publishing options of a Contibutor.\" width=\"293\" height=\"261\" \/><\/p>\n<h4>How to Find Content That is Pending Review<\/h4>\n<p>If a Contributor submits an item for review, an Administrator or Editor can moderate the post.<\/p>\n<ol>\n<li>Select <strong>Pages<\/strong> (or Posts, Events, Profiles, etc.) in the Dashboard.<\/li>\n<li>Items awaiting review display a blue \u201c<strong>Pending<\/strong>\u201d label next to the title.<\/li>\n<li>Click the title to open and review the content.<\/li>\n<li>Optional shortcut: click the <strong>Pending<\/strong> filter link at the top of the list to show only Pending items.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-11587\" src=\"https:\/\/www.med.unc.edu\/webguide\/wp-content\/uploads\/sites\/419\/2021\/03\/pending-review-posts.png\" alt=\"Example screenshot of where to find posts in the Pending Review state.\" width=\"500\" height=\"192\" srcset=\"https:\/\/www.med.unc.edu\/webguide\/wp-content\/uploads\/sites\/419\/2021\/03\/pending-review-posts.png 648w, https:\/\/www.med.unc.edu\/webguide\/wp-content\/uploads\/sites\/419\/2021\/03\/pending-review-posts-300x115.png 300w, https:\/\/www.med.unc.edu\/webguide\/wp-content\/uploads\/sites\/419\/2021\/03\/pending-review-posts-600x231.png 600w\" sizes=\"auto, (max-width: 500px) 100vw, 500px\" \/><\/p>\n<h3><\/h3>\n<h3><a id=\"published\"><\/a>Published<\/h3>\n<p>Published content is live and publicly visible on your website.<\/p>\n<ul>\n<li><strong>Who can see it?<\/strong> Anyone visiting your site, as well as search engines (unless the content is <strong>Password Protected<\/strong> &#8211; explained below).<\/li>\n<li><strong>When to use it:<\/strong> When the page is complete and ready to go live.<\/li>\n<li>Once a page is published:\n<ul>\n<li>It can appear in navigation if it has been assigned a parent or added to menus.<\/li>\n<li>It can be assigned children pages.<\/li>\n<li>It can be found in site searches and indexed by search engines.<\/li>\n<li>Other pages can link to it.<\/li>\n<\/ul>\n<\/li>\n<li>Once a page is published, the Publish button changes to <strong>Update<\/strong>. Use the Update button to save changes to a published page.<\/li>\n<\/ul>\n<hr  style=\"margin:40px 0\"class=\" rule-thin osc-rule\" \/>\n<h2><a id=\"unpublish-content\"><\/a>Unpublishing Content<\/h2>\n<p>If you have outdated or incorrect content that you no longer want visitors to see, you can either <strong>delete or unpublish<\/strong> it. To unpublish a page, simply change its status from <strong>Published<\/strong> back to <strong>Draft<\/strong>.<\/p>\n<ul>\n<li>Changing the status to <strong>Draft<\/strong> removes the page from public view without deleting it. The page remains available for editing.<\/li>\n<li><strong>Delete<\/strong> the page \u2013 use this only when the content is no longer needed.<\/li>\n<\/ul>\n<p><strong>Important<\/strong>: Deleting or unpublishing pages can create broken links if other pages point to them. Review your site and fix any affected links.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-11596\" src=\"https:\/\/www.med.unc.edu\/webguide\/wp-content\/uploads\/sites\/419\/2021\/03\/un-publish.png\" alt=\"screenshot of how to convert published content to draft.\" width=\"296\" height=\"359\" srcset=\"https:\/\/www.med.unc.edu\/webguide\/wp-content\/uploads\/sites\/419\/2021\/03\/un-publish.png 296w, https:\/\/www.med.unc.edu\/webguide\/wp-content\/uploads\/sites\/419\/2021\/03\/un-publish-247x300.png 247w\" sizes=\"auto, (max-width: 296px) 100vw, 296px\" \/><\/p>\n<hr  style=\"margin:40px 0\"class=\" rule-thin osc-rule\" \/>\n<h2><a id=\"preview\"><\/a>Preview<\/h2>\n<p>Preview lets you see how your page will look without affecting the live site.<\/p>\n<ul>\n<li><strong>Who can see it?<\/strong> Only you (and other site editors).<\/li>\n<li><strong>When to use it:<\/strong> When you want to check layout, formatting, or content on a draft page or before saving changes to a published page.<\/li>\n<\/ul>\n<hr  style=\"margin:40px 0\"class=\" rule-thin osc-rule\" \/>\n<h2><a id=\"visibility\"><\/a>Visibility<\/h2>\n<p>Visibility settings control who can see a page <strong>once it is published<\/strong>.<\/p>\n<h3><a id=\"public\"><\/a>Public (Default Setting)<\/h3>\n<p>The page is live and visible to anyone visiting your site including search engines.<\/p>\n<h3><a id=\"password-protected\"><\/a>Password Protected<\/h3>\n<p>The page is published, but visitors must enter a password to view it.<\/p>\n<p>Who can see it:<\/p>\n<ul>\n<li>Anyone who has the password.<\/li>\n<li>Search engines will not index the content.<\/li>\n<\/ul>\n<p>How it works:<\/p>\n<ul>\n<li>You set a single password. Anyone who has the password can access the page. There are no individual user accounts or permissions.<\/li>\n<li><strong>No sensitive information, including PHI, is allowed in a School of Medicine WordPress website.\u00a0<\/strong><\/li>\n<li>Setting the <strong>Visibility<\/strong> to <strong>Password Protected<\/strong> will automatically change the <strong>Status<\/strong> to <strong>Published<\/strong>.<\/li>\n<li>Site visitors will see the <strong>Title<\/strong> of the password protected page and will be prompted to log in before they are shown more.<\/li>\n<li>Password protection applies to the <strong>page text only<\/strong>. Any <strong><a href=\"https:\/\/www.med.unc.edu\/webguide\/userguide\/media\/\">media files<\/a><\/strong> (images or documents) on the page remain <strong>publicly accessible<\/strong> to anyone with the direct URL, can appear in site searches and can be indexed by search engines.<\/li>\n<li>Sharing a single password with multiple people is not a recommended method to restrict access to documents or content that should not be publicly available.<\/li>\n<li>Alternative ways to protect non-public content include using <strong><a href=\"https:\/\/adminliveunc.sharepoint.com\/SitePages\/Home.aspx?wa=wsignin1.0\">SharePoint<\/a>\u00a0<\/strong>or <strong>OneDrive<\/strong>. Access can then be controlled through permissions.<\/li>\n<\/ul>\n<h3><a id=\"private\"><\/a>Private<\/h3>\n<p>Sometimes you need content to exist on the site but not be visible to site visitors. The <strong>Private<\/strong> state lets you <strong>publish<\/strong> a page while restricting access to <strong>only Editors and Administrators<\/strong>. This is different from a <strong>Draft<\/strong>, which is not published and cannot be viewed on the front end at all.<\/p>\n<div class=\"row  oscitas-bootstrap-container\">\n<div class=\"col-lg-6 col-md-6 col-xs-12 col-sm-6 oscitas-bootstrap-container\">\n<h4>Private<\/h4>\n<ul>\n<li>A Private page is published but restricted.<\/li>\n<li>Only <a href=\"https:\/\/www.med.unc.edu\/webguide\/userguide\/sharing-permissions\/\">editors and administrators<\/a> can view it.<\/li>\n<li>Does NOT appear in menus or search results for regular visitors.<\/li>\n<li>Completely hidden from public users and search engines.<\/li>\n<li>Think of Private as \u201cPublished, but internal-only.\u201d<\/li>\n<\/ul>\n<\/div>\n<div class=\"col-lg-6 col-md-6 col-xs-12 col-sm-6 oscitas-bootstrap-container\">\n<h4>Draft<\/h4>\n<ul>\n<li>A Draft page is considered unfinished.<\/li>\n<li>Visible only to logged-in <a href=\"https:\/\/www.med.unc.edu\/webguide\/userguide\/sharing-permissions\/\">editors and administrators<\/a>.<\/li>\n<li>Not published.<\/li>\n<li>Not indexed by search engines.<\/li>\n<li>Intended for content still being created or reviewed.<\/li>\n<li>Think of Draft as \u201cNot ready yet.\u201d<\/li>\n<\/ul>\n<\/div>\n<\/div>\n<hr  style=\"margin:40px 0\"class=\" rule-thin osc-rule\" \/>\n<h2><a id=\"scheduling-content\"><\/a>Scheduling Content<\/h2>\n<p>By default, pages go live as soon as you publish them. If needed, you can schedule them to publish at a future date and time.<\/p>\n<p>This is helpful when planning launches, announcements, and time-sensitive updates. For example, if a program launches Monday at 8:00 AM, you can schedule the page in advance rather than publishing it manually at that exact time.<\/p>\n<h3>How To Schedule<\/h3>\n<ol>\n<li>In the Publish box, select the <strong>Edit<\/strong> link located to the right of <strong>Publish immediately<\/strong>.<\/li>\n<li>Select the future date and time you want the page to go live.<\/li>\n<li>Click <strong>OK<\/strong> to confirm the date\/time.<\/li>\n<li>Click <strong>Publish<\/strong> to save the schedule.
