All files appear in a single library and display in the order in which they were uploaded. Use search, filters, and descriptive file names to locate items quickly.

No Publishing States

Media files don’t have a “draft” state. Everything is immediately live once uploaded. Even if you don’t link to a media item, such as a document, it can still appear in site searches and be indexed by search engines.

Password-Protected Content

Files stored in the Media Library cannot be password protected. If content needs restricted access, host it in SharePoint or another secure platform, then link to it from your site.

We get frequent requests to password-protect documents, but this feature is not available in the SOM web system.

File Size Limits

The maximum upload size for media files is 65 MB.

<hr style="margin:40px 0"class=" rule-thin osc-rule" />

Accessibility and Compliance

Copyright Compliance

Only upload images and documents your department owns or has permission to use. If sharing journal articles or research materials, review the Sharing Journals & Copyright Concerns documentation for guidance on what is allowed, what to avoid, and best practices.

Document Accessibility

Documents are one of the most common accessibility issues on School of Medicine websites. All uploaded documents must meet accessibility standards before being shared. Whenever possible, publish your content as a web page instead of linking to a document. Web pages are easier to make accessible and more mobile-friendly.

Video

Even though audio and video files can be uploaded to your site’s Media Library, hosting them on dedicated streaming services is strongly recommended for better performance. The most commonly used video hosting platforms used at the School of Medicine are Panopto, YouTube, and Vimeo.
